The 2020 Virtual Conference Experience

How will the Virtual Conference Work?

The virtual conference will operate on a virtual website and will be similar to an in-person conference in the sense that presentations will be organized into sessions according to core competencies/IVP topics and are assigned a virtual room and time. As with in-person conferences, attendees will access their preferred session by entering a “virtual session room” that is accessible through the conference agenda. 

 

 We will have three types of general sessions at our virtual conference:

  • LIVE Group Session, which is similar to a Zoom webinar, where all attendees can watch the speakers present live and interact via a built-in chat box.
  • LIVE Learning Lab Session, which is similar to a Zoom meeting, where a smaller group of attendees can interact live with the session presenter using their camera and microphone.
  • PRE-RECORDED Sessions where pre-recorded presentations will be available to watch and attendees can chat with the presenters through a chat box during the session’s designated virtual conference time.
We know networking at the Safe States Conference is important. The nature of the virtual conference provides several new opportunities for expanded engagement. Outside of the general sessions, networking at the conference will take place through a variety of outlets including:
  • Designated small group networking times: We will have designated small group rooms for attendees to join at specific times during the conference programming. Each room will have a designated topic. Similar to a Zoom meeting, you can interact live via your camera and microphone. Attendees are encouraged to sign up early for these small group networking rooms.
  • Virtual exhibit hall: Check out and engage with our exhibitors, Safe State committees, and our special interest groups (SIGs) during our designated exhibit hall times. Virtual exhibitor booths will include resources for download, chat boxes for attendees to engage with each other and more. Come during the designated exhibit hall times and you will have the ability to interact via video with a live representative in the virtual exhibitor booth!
  • Private messaging: Attendees can connect through the conference website for one-on-one messaging and/or video chats. Push notification and email alerts will make sure you stay connected to those you are chatting with. Looking for face to face time? The conference website allows attendees to send meeting requests for video chats on the platform. Not sure who to talk to? A browsable, searchable attendee directory can help you find conference attendees with similar interests and backgrounds!
  • Discussion Board: Join the various conference discussions or start one of your own on our Conference Discussion Board. Respond to attendees, post pictures and share what’s happening in your world as you would on any social network. This will be a great place to meet new friends and take what you have learned in individual session rooms out into the whole conference.

We know life circumstances can be challenging during these times, so all sessions will be fully recorded and made available via the conference website for up to one year after the Virtual Conference to those who have registered. This will allow participants to catch up on any content that they missed or revisit content they would like to see again.
