Membership Structure and Fee Updates

The Safe States Alliance has substantially grown and diversified in membership over our 25-year existence. The Membership Development Committee conducted a review of the current state of membership, to include a review of the membership structure, annual dues, and benefits. The committee identified opportunities that would simplify and strengthen the membership experience across the organization and provide equity to all members, regardless of their institutional type. As a result, revised membership categories and pricing have been adopted by the Safe States Executive Committee and will take effect on June 1, 2019.

 

The frequently asked questions below have been developed to help members better understand the updates and their impact. Safe States encourages all members to review the FAQs and reach out to staff with any questions.

Membership Structure and Fees

1. How did the overall Safe States Alliance organizational membership structure change?

  • Prior to June 1, 2019, Safe States had three options for organizations to purchase group memberships:

State/Territorial Health Department
Local/Tribal Health Department
Organizational

  • Each type of group membership had its own pricing unique to that membership, and the cost and process for adding additional members to the group membership varied by type of organization. Additionally, the grace period for past due payments varied across group memberships.
  • Effective June 1, 2019, Safe States will streamline all group memberships into one category: organizational. All organizations will be treated equally relative to pricing, the number of members in a group membership, and grace period once payment is past due.

2. How do these new membership categories impact Individual and Student memberships?

 

There are no changes to the membership categories for Individual and Student memberships.  However, these changes will impact Individual and Student membership dues pricing and grace periods. Skip to FAQs on pricing updates.

3. What are the changes to rates associated with the updated membership structure?

 

Effective June 1, the following dues changes will be enacted:

4. What are the changes to the grace period for overdue payments?

 

Effective June 1, 2019, all memberships will be offered a 60-day grace period after the membership’s expiration date during which all Safe States services will remain accessible. If payment has not been received by 60 days of the membership’s expiration, all access will be suspended and the membership will be considered inactive.

5. When do the updates to the membership structure and fees go into effect?

 

All updates to the membership structure and dues pricing go into effect on June 1, 2019.

6. Why did the Safe States Alliance change the membership structure and fees?

 

As the Safe States Alliance has grown and diversified its membership pool over its 25-year existence, various updates to the membership have resulted in variations of membership pricing and policies across membership types. The changes are designed to simplify the membership structure and provide equity to all members, regardless of their institutional type. Increased flexibility for organizations to determine the number of representatives on their membership will allow for teams to tailor a membership plan to fit their unique needs. Finally, all membership dues will contribute to the Safe States Alliance’s ability to reinvest into the membership and organization and continue to benefit the field of injury and violence prevention practice.

7. How was the new membership structure determined?

 

The Safe States Alliance Membership Development Committee conducted a comprehensive review of the current state of the Safe States Alliance membership, inclusive of the membership structure, annual dues, and benefits, and identified opportunities to strengthen the membership experience across the organization. Their recommendations were reviewed and approved by the Safe States Executive Committee (Board). In August 2018, the Safe States Alliance membership then voted to update the organizational bylaws based on the approved recommendations. The approved, updated bylaws can be found here.

8. Are there any changes to benefits under the updated membership structure?

 

All benefits previously enjoyed through Safe States Alliance membership will remain in effect with an active membership through the end of the 60-day grace period. 

 

Updating Your Organizational Membership


9. Am I able to add additional members to our organizational membership after the annual dues are paid?

 

Yes, you can add additional member(s) to your organizational membership at any point throughout the year. The fee for the additional membership(s) will be pro-rated based on your annual renewal date.

10. What happens if we need to remove an individual from our organizational membership midway through our membership period?


Safe States understands there is always some level of staff turnover.  Therefore, you will still be able to make updates to your membership at any point throughout your 12-month billing cycle. While Safe States cannot provide a refund for an unused slot that was included in the annual renewal cycle, organizations are welcome to add new representatives at any point to replace the individual who was removed.

11. How do I see how many people are associated with our current organizational membership, and how can I make updates to that roster?


To view the current roster of individuals associated with your organizational membership, visit www.safestates.org and select “Sign In” from the listed options at the top, right-hand corner of your screen. The log-in credentials should be those associated with the organizational account. If you have any trouble accessing your log in credentials, please email info@safestates.org for assistance.

Once signed in, select “Manage Profile” and choose “Sub-accounts” from the menu page.  

 

 

 

From your sub-accounts page, you can see all individuals associated with your master organizational account. You are also able to make updates to the roster by removing or adding members from the sub-account page. If you need assistance, please contact info@safestates.org, and Safe States staff would be happy to assist you with this process.

 

Invoicing

12. When will I receive my renewal invoice?

 

Renewal invoices will be sent to the organizational main contact person’s email beginning 90 days prior to expiration.  

13. What do I do if I have an open invoice under the current membership structure that is not paid by May 31, 2019 (i.e., my membership expires before June 1, 2019 and it is not paid)? 


If your membership expires prior to June 1, 2019 and you have not paid your invoice, the old grace periods will apply.  Once that grace period ends, your membership will be suspended. Once your membership expires, Safe States staff will let you know how long you have before your membership will be suspended. Renewal at any point after May 31, 2019 will be according to the new membership structure, dues pricing, and grace period.  You can renew your membership or pre-pay your membership at the old rates at any point until June 1, 2019.  

14. Will I have the opportunity to renew my current membership under the old pricing before my renewal period arises?


You can renew your membership or pre-pay your membership at the old rates through May 31, 2019.  Renewal at any point on or after June 1, 2019 will be according to the new membership structure, dues pricing, and grace period.   

15. How will the number of members be determined for invoicing purposes under the updated membership structure and fees?


The first time you renew your membership beginning June 1, 2019, you will need to decide exactly how many memberships you want with the minimum being three (3).  For example, if you currently have a Public Health Institutional Membership of 4-7 individuals, you will need to decide if you want to renew at the same level which would mean seven (7) seats. However, if you were only actively using six (6) of your 4-7 memberships, maybe it makes sense for you to renew at six (6).  Additionally, let’s say you needed eight (8) members but didn’t want to pay the 8-11 seat pricing  , you might now want to renew at eight (8) members. And as always, you can add memberships at any time. Safe States staff is happy to speak with you prior to your renewal to determine the best renewal option for your organization.

16. What will happen to my membership on June 1, 2019 if it is not slated to expire before June 1, 2019?


Memberships will continue into the new structure at the maximum organizational level they were prior to June 1, 2019.  Meaning – if you have a Public Health Institutional Membership of 4-7 individuals (i.e., a total of seven (7) seats), beginning June 1, you would still have seven (7) seats, however now your account would be defined as an Organization Membership + four (4) (i.e., still total of seven (7) seats).
